Correspondence

Menu Path: Administration > Correspondence

The Utility Billing application directly integrates with Microsoft Word™ to prepare delinquent notices, lien notices and general documents. The system uses the mail merge capability for this integration. To generate one of these documents, the following must be completed.

• Prepare a Word™ document using the mail merge feature. Assign the data source to be one of the following queries found in the data database.
  
  
  The merge document should appear as follows:
  
  
• Identify each of the documents prepared by entering the appropriate information in the form below.
  
  Correspondence: Enter the title for the correspondence. This title will be displayed by the system when correspondence are referenced.
  Merge File Name: Enter the path and file name of the Word™ document. The user may user the Browse button to locate the file.
  Delinquent Notice?: Check this box if the document is a delinquent notice.
  
• Prepare the delinquent notice, lien notice or standard letter as per the procedures provided.
